Because of our intimate size late cancellations can affect us greatly. (1) For bookings of less than 4 weeks duration, a deposit of 50% of total booking may be made at the time of booking. In event of cancellation up to one month prior to arrival, a full refund of deposit applies. Cancellations received with less than 30 days notice incur a loss of deposit. However cancellation within 7 days of arrival may incur a loss of the full booking cost PLUS $NZ50 cancellation administration fee, which is debited from your credit card. NOTE: One night stays are not accepted in our cottages and 2 x bedroom apartments. For bookings of over 4 weeks in duration, payment conditions are negotiated at the time of booking. There is no provision for late cancellations by individuals, within the month of arrival, i.e the quoted rate and booked apartment(s) remain regardless of the number of people showing up on the day. Overseas guests - Please ensure your travel insurance includes provisions covering loss of deposits due to cancellation (Unexpected event) Overseas travellers: Please ensure cancellation provisions are included in your travel insurance policy. WHAT WE DO WITH YOU CREDIT CARD DETAILS: At NO stage do your credit card details ever get transmitted insecurely. (i)You enter them into the reservation form which is secure. When you press the submit my request button, the details are encrypted and sent through the secure server into our database. (ii)East West Apartments (East West Homestay Ltd) is notified of your request. Your credit card details do NOT get e-mailed to them. (iii)East West Apartments (East West Homestay Ltd) logs in to their Reservations Manager through the secure server and retrieves your booking request. Your credit card details are encrypted and displayed to them through the secure server. (iv) At all times, your credit card details are stored in an encrypted format in our database. (2) No shows after 6.00 pm if not prior arranged for late check in are debited 100% of the total stay against the guest's credit card. (3) Changes to nightly stays made during the stay may be debited up to the full amount of booking period. (4) Credit card details are taken at the time of booking to secure your reservation only. The deposit is debited after the booking has been CONFIRMED. Payment of balance of deposit, or full payment is made on departure. No payments are made in full at time of booking unless otherwise arranged. All deposits are receipted on invoice and emailed for your record. Rates confirmed at time of booking are not subject to further change. (5) Group bookings and bookings of FIVE NIGHTS or more must be fully prepaid one month prior to arrival. If cancellation occurs up to SEVEN days of arrival 50% of the total stay will be refunded to the credit card provided to secure the booking, or as arranged. If cancellation occurs within SEVEN days of arrival the total stay will be retained by East West management. There is no provision for late cancellations by individuals in a group booking, within the month of arrival, i.e the quoted rate and booked apartments remain regardless of the number of people showing up on the day. (6) Management and/or clients are not obligated to accept reservation requests or confirmed bookings. (7) On arrival inspection of property, management reserves the right not to accept guests who are not satisfied with our facilities on arrival. A full refund applies. (8) Management reserves the right to decline acceptance of extra person, i.e. adults,and/or children or infants (up to and including the age of 11 years) not declared as guests at the time of booking or as previously arranged. Extra charge adult, child/infant $20 per night only if suitable accommodation available. Should a MAXIMUM occupancy space be exceeded, no refund of deposit/payment will be applicable, and booking will be declined. (9) Bookings by agents must be paid in full one month prior to arrival date. Should a cancellation occur with one month, 50% of the total booking cost is liable. A cancellation within ONE WEEK of arrival incurs 100% of the total cost plus $50 cancellation administration fee. For group bookings there is no provision for late cancellations by individuals within the month or arrival, i.e the quoted rate and booked apartments remain regardless of the number of people showing up on the day. (10) NO pets are permitted on the premises under any circumstances. Any pets found on premises immediate eviction and full stay costs will be incurred. OVERSEAS TRAVELLERS: PLEASE ENSURE LOSS OF DEPOSIT FOR ACCOMMODATION CANCELLATIONS ARE INCLUDED IN YOUR TRAVEL INSURANCE POLICY CHECK IN TIME: To maintain our high standard of unit preparation, check in time is strictly from 2.00 pm or as prior arranged. Early check ins between 11am - 1 pm incur 50% of daily rate. Check in required prior to 11 am incurs a full day's rate. CHECK OUT TIME - 10 am, or as prior arranged. Late check out available on prior arrangement. Check out 12 - 2.00 pm incurs 50% of a night rate. Check out after 2.00 pm incurs a full nightly rate. Please note that the office closed at 6.00 pm for in-house guests. Payment for early morning departures must be made the night prior to departure.
